Microsoft Defender: features, use cases and plans
October 24, 2026Microsoft product guide
Microsoft OneDrive
OneDrive is Microsoft’s cloud storage for work files. Each person gets a personal space that syncs to their devices, with sharing and recovery controls that IT can manage.
- Best for: personal work files that should be backed up and shareable
- Where it runs: Windows, Mac, web and mobile
- Included in: most Microsoft 365 plans, 1 TB per user to start
- Extra storage available
What OneDrive does for your business
The features clients ask about most, with an example of each in daily use.
Files on every device
Open your files on a laptop, phone or browser and keep them in sync. In practice: Start a proposal at the office and finish it from a phone at the airport.
Files On-Demand
See all files in File Explorer without using disk space until you open them. In practice: A laptop with a small disk still shows the full project archive.
Backup of Desktop and Documents
Back up the Desktop, Documents and Pictures folders so a lost laptop does not lose work. In practice: A failed laptop is replaced and the files are back in minutes.
Sharing with control
Share links with specific people, set expiry and block downloads. In practice: Send a draft to a client for review with an expiring link.
Version history and restore
Roll back to earlier versions, and restore a whole OneDrive after ransomware or mistakes. In practice: Restore a folder that was deleted accidentally last week.
Co-editing
Several people can edit Office files stored in OneDrive together. In practice: Two colleagues edit the same workbook live.

Licensing and deployment notes
- Known Folder Move: Redirect Desktop, Documents and Pictures to OneDrive for all users with a policy.
- Restore: Files Restore can roll a OneDrive back up to 30 days. Deleted items stay in the recycle bins for a limited time.
- Sharing policy: Set external sharing limits and link defaults at the tenant level.
- Sync client: Manage the sync client with policies, and keep it updated for reliability.
- File limits: Check file size, path length and unsupported characters before large migrations.
- Backup: Recycle bin and version history are not a replacement for a full backup. Consider third-party backup for critical data.
