Create an email signature in new Outlook or Outlook on the web to keep your contact details consistent. This guide covers those versions; classic Outlook uses a different settings path.
Prepare the details
Use your approved name, role, company, phone number and website. For a first version, keep the layout simple and readable. Check your company’s branding requirements before adding a logo or disclaimer.
Create and save the signature
- Open Outlook and select Settings > Accounts > Signatures.
- In new Outlook, select the email account if you have several.
- Select Add signature or New signature, depending on the interface, and give it a distinct name.
- Enter your contact details in the editor and apply the formatting you need.
- Choose whether to insert it automatically in new messages and in replies or forwards. Leave the options unselected if you prefer manual insertion.
- Select Save.
Check it before regular use
Start a new message from the intended account. Confirm the signature appears, then test a reply if you enabled that default. Send a test to an address you control and check the links, line breaks and readability on a phone.
To insert a saved signature manually in new Outlook, open New mail, then choose Signature in the Message tab’s Insert group.
If it does not appear
Return to Signatures and check the selected account, insertion options and saved changes. If your menus differ, confirm whether you are using classic Outlook before following these steps.
