The right Microsoft 365 plan starts with a description of the job. “Needs email” is a beginning. “Works offline with complex spreadsheets, handles client information, and uses a managed laptop” is much more useful.
Business Basic, Business Standard, and Business Premium address different combinations of productivity and management needs. Choosing well means checking the exact subscription against both the employee’s work and your organisation’s security requirements.
Start with the core distinction
Business Basic provides web and mobile productivity apps and business email. Business Standard adds desktop productivity applications. Business Premium combines productivity capabilities with additional security and device management features. These differences suggest a starting point, not a final recommendation:
- Basic: investigate for browser-based work when desktop applications are unnecessary.
- Standard: investigate when installed applications and offline workflows are important.
- Premium: investigate when integrated identity, device, and threat-protection capabilities are part of your requirements.
Do not interpret “Basic” as suitable for every occasional user or “Premium” as necessary only for executives. Access to sensitive information and device requirements cut across job titles.
Test the real workflow
Ask a representative employee to complete normal tasks using the proposed tools. Include the awkward jobs: a spreadsheet with specialised features, a document template, an external collaboration process, or working with unreliable connectivity.

For example, a finance team may need installed applications because of its workbook processes. A coordinator working mainly in a browser may have different application needs. Both still need an appropriate security baseline.
Treat Premium as an implementation decision
Business Premium includes capabilities such as Microsoft Intune, Microsoft Entra ID P1, and Microsoft Defender for Business. These support device management, identity controls, and endpoint protection. Review Business Premium’s current offering.
Buying the licence does not enrol devices, design access policies, or assign someone to investigate alerts. Include configuration, rollout, employee communication, and ongoing ownership in the decision.
If you already use separate tools, assess the overlap carefully. A bundled capability may help consolidate suppliers, but compare actual requirements and migration effort before retiring an existing service.
Build a role-based purchasing worksheet
For each employee group, record:
- Essential applications and whether desktop access is required.
- Devices used, ownership, and management requirements.
- Information accessed and external sharing needs.
- Teams requirements and the exact subscription variant.
- Any Copilot or specialist add-ons being considered.
- Security controls required and their licensing dependencies.
Mixed plans can be appropriate, but everyone benefiting from a licensed capability must be covered by the applicable terms. Avoid introducing uneven protection just to reduce the headline licence cost.
Validate the order before committing
Request the full product name, included services, commitment term, billing frequency, and renewal date. Check current user limits and eligibility, particularly if the organisation is growing or uses shared computers and specialised environments.
Run a small pilot, resolve workflow issues, and document the standard for future hires. Revisit it when responsibilities or security needs change.
