Microsoft Bookings
Bookings is Microsoft’s online scheduling tool. Clients pick an open time on a web page, and the appointment lands in your calendar with a Teams link if you want one.
- Best for: client-facing teams that take appointments
- Where it runs: web, with a shareable booking page
- Included in: Microsoft 365 Business Basic, Standard and Premium
- Works with Outlook and Teams
What Bookings does for your business
The features clients ask about most, with an example of each in daily use.
Public booking page
Share one link or embed it on your website so clients can book without calling. In practice: A consultancy puts a “book a discovery call” link in every email signature.
Calendar sync
Appointments appear in staff calendars and respect their existing busy times. In practice: Nobody is double-booked because Bookings reads Outlook availability.
Teams meeting links
Online appointments get a Teams link automatically. In practice: Remote consultations are scheduled and joined without extra steps.
Email reminders and confirmations
Clients receive confirmations and reminders, which cuts no-shows. In practice: An accounting firm sends a reminder 24 hours before each tax meeting.
Multiple staff and services
Create services with different lengths, staff and rules, such as buffers between appointments. In practice: A clinic offers 15-minute check-ins and 60-minute assessments from one page.
Custom questions
Ask clients for details at booking so you can prepare. In practice: A technician asks for the device model and the problem before the visit.

Licensing and deployment notes
- Admin control: Admins can turn Bookings on or off for the organization and restrict who can create booking pages.
- Booking page access: Pages are public by default when shared. Set who can book, such as anyone or only people in your organization.
- Staff licensing: Staff on a booking page need a licence that includes Exchange Online and Bookings.
- Calendar dependency: Bookings relies on Exchange Online calendars, so mailbox settings and permissions affect availability.
- Customer data: Bookings stores customer names and contact details. Review retention and privacy requirements for your industry.
- Feature changes: Microsoft has added advanced scheduling features to some paid add-ons over time. Check Microsoft documentation for the current feature split.
