Microsoft Lists
Microsoft Lists is a tracker for anything you used to keep in a spreadsheet: issues, assets, onboarding steps, contacts. It adds views, reminders and automation on top of simple rows and columns.
- Best for: teams tracking work, assets or requests
- Where it runs: web, Teams and mobile
- Included in: Microsoft 365 plans with SharePoint
- Pairs with Power Automate and Power Apps
What Lists does for your business
The features clients ask about most, with an example of each in daily use.
Ready-made templates
Start from templates for issue tracking, asset management, employee onboarding, event planning and more. In practice: HR starts an onboarding tracker from a template and customizes it in minutes.
Multiple views
See the same data as a grid, calendar, gallery or board. In practice: A facilities request list shown as a board by status and a calendar by due date.
Rules and alerts
Get notified when a status changes or a date passes, without writing code. In practice: Notify the owner when a request has been open for seven days.
Forms
Collect entries through a form that adds rows to the list. In practice: Staff report equipment problems through a short web form.
Inside Teams
Pin a list as a tab so the team works on it where they already chat. In practice: A project list lives in the project channel.
Automation
Connect lists to Power Automate for approvals and notifications. In practice: A new row triggers an approval to the manager before purchasing.

Licensing and deployment notes
- Where data lives: Lists are stored in SharePoint, so SharePoint permissions, storage and retention apply.
- Size and views: Lists can hold many items, but large lists need indexed columns to keep views fast.
- Permissions: Use list-level or item-level permissions sparingly; many unique permissions slow things down.
- Custom apps: Power Apps can add custom forms. Some Power Platform features need extra licences.
- Governance: Decide who can create lists and where they are saved so data does not scatter across personal OneDrive accounts.
- Backup: Lists are covered by the Recycle Bin and retention policies, not by a full backup. Consider third-party backup for critical lists.
