Microsoft PowerPoint
PowerPoint is Microsoft’s presentation app. Businesses use it for sales pitches, board updates, training and any story that needs slides.
- Best for: sales, management, training and anyone who presents
- Where it runs: Windows, Mac, web and mobile
- Included in: most Microsoft 365 plans
- Optional add-on: Microsoft 365 Copilot
What PowerPoint does for your business
The features clients ask about most, with an example of each in daily use.
Designer
Suggests professional layouts for the content you add, so slides look consistent without a designer. In practice: Paste three bullet points and pick from ready-made layouts in seconds.
Slide masters and templates
Lock in your logo, fonts and colours once so every deck matches your brand. In practice: A company template that every salesperson uses for customer pitches.
Present and record
Present live, add live captions, or record a narrated slideshow people can watch later. In practice: Record a 10-minute product walkthrough for customers in other time zones.
Co-authoring and comments
Several people build the same deck together and leave comments on slides. In practice: Sales, finance and operations each build their own section of a quarterly review.
Charts and data
Insert charts that come from Excel and update when the numbers change. In practice: A monthly results deck that refreshes from the same workbook every month.
Copilot in PowerPoint
Create a deck from a Word document, summarize a long presentation or restyle slides. Requires the Copilot add-on. In practice: Turn a six-page proposal into a first-draft deck before a client call.

Licensing and deployment notes
- Desktop vs web: Desktop PowerPoint installs through Microsoft 365 Apps. PowerPoint for the web covers most needs but has fewer animation, media and add-in options.
- Plan limits: Microsoft 365 Business plans are capped at 300 users per organization. Larger teams move to Enterprise plans such as E3.
- Updates: Desktop apps update through Microsoft 365 Apps update channels, which an admin can set for the whole organization.
- Brand control: Organization-wide templates can be published so staff start from approved layouts.
- Storage: Decks saved to OneDrive or SharePoint support co-authoring and version history.
- Copilot: Copilot in PowerPoint needs a Microsoft 365 Copilot licence per user on top of an eligible base plan. Availability can vary by region and tenant.
