Microsoft SharePoint
SharePoint is Microsoft’s platform for team sites, intranets and document libraries. It stores the files behind Teams and gives every department a controlled place for documents, news and processes.
- Best for: shared documents, intranets and department sites
- Where it runs: web, with sync to desktop through OneDrive
- Included in: Microsoft 365 plans with SharePoint
- Add-on: SharePoint Advanced Management
What SharePoint does for your business
The features clients ask about most, with an example of each in daily use.
Team sites
A shared home for a department or project with files, a calendar and news. In practice: Each client engagement gets its own site with the right people and files.
Document libraries
Store files with version history, metadata, check-out and permission control. In practice: Contracts are tagged by client and status so search finds the right one fast.
Intranet and news
Publish company announcements and policies on communication sites. In practice: HR posts policy updates and tracks who has read them.
Search
Find files, people and sites across the company from one search box. In practice: A new hire finds the expense policy without asking.
Workflows and forms
Automate approvals and notifications with Power Automate and Lists. In practice: A document submitted for review goes to the manager automatically.
Copilot and agents
Copilot answers questions from site content. Requires the Copilot add-on. In practice: An agent on the HR site answers leave questions from the policy library.

For IT buyers
Licensing and deployment notes
- Storage: Organizations get 1 TB plus 10 GB per licensed user for SharePoint. More storage can be bought as an add-on.
- Permissions design: Prefer groups over individual permissions, and use Microsoft 365 Groups for team sites.
- Sharing controls: Set external sharing at the tenant and site level. Review anyone links and guest access regularly.
- Governance: SharePoint Advanced Management helps find inactive sites, oversharing and permissions problems. This matters before a Copilot rollout.
- Retention and backup: Recycle Bin and retention policies are not a backup. Consider third-party backup for critical content.
- Migration: File shares can be migrated with the SharePoint Migration Tool. Plan site structure and permissions first.
